1. Booking (Touring and Camping)
a. Reservations can be made through our website, and will only be taken from an adult.
b. Provisional reservations will be held for a maximum of 5 days to allow you time to make your non-refundable 20% deposit payment.
c. Your contract with us will begin when we receive your booking and deposit. You will in turn receive an confirmation email. Your contract with us will be on the terms set out below.
d. All bookings are formally confirmed by us when we issue you with your booking summary email. The booking summary will set out the details of the accommodation or pitch booked, the dates booked, the total amount payable (Split as a deposit and a remaining amount payable on arrival). Please be aware that all prices are displayed under the tariff page on our website and when booking online.
e. Our pitch sizes for camping are roughly 10 square meters. Please ensure your tent (including ropes), and car plus any extras fit into this space without encroaching on the next pitch. If your set-up is very large you will need to book 2 pitches.
f. You as the person making the booking, will be responsible for all members of your party.
g. Please let us know of any special requests at the time of booking, and we will do our best to accommodate you. Sometimes guests request specific pitches, or pitches together. Please be aware we can’t always guarantee this in high season.
h. The total number in your party must not exceed the maximum capacity of the holiday caravan or pitch advertised.
i. Please check your booking confirmation carefully as soon as you receive it. If any information is incorrect, we ask that you let us know straight away.
2. Paying for your pitch (Touring and Camping)
a. All bookings made for the touring park require a 20% deposit payable within 5 days of booking. The remaining balance will be payable upon arrival with the amounts detailed in your confirmation email.
b. For bookings made less than 1 day in advance of the arrival date, you may be asked to pay the total amount of the booking at the time of the booking.
c. If you do not pay the deposit balance of your booking within 5 days, you will get an email reminder. If you then fail to make payment within a further 5 days, we will assume that you wish to cancel your booking. If this happens, your booking will immediately be cancelled.
d. All prices are inclusive of VAT at the current rate.
3. Pricing of our pitches (Touring and Camping)
Once you have made your booking, the price of your holiday will not be subject to change, unless you make any additions.
4. Alterations to your booking (Touring and Camping)
a. When you book you must provide us with the number of people intending to occupy the pitch for the duration of your booking. You must notify us of any change in this number as soon as possible, prior to your arrival date.
b. If you wish to make a change to your booking, such as an alteration to the type of pitch or the date of your booking etc, you can do this by clicking the link at the bottom of your confirmation email. Alternatively notify us via our bookings email. We will endeavour to accommodate your requirements, however we are not able to guarantee that this will be possible. If we are able to assist you with making your requested amendment there may be an increase in the cost of your holiday which will be payable upon arrival.
c. Please note that should you wish to extend your stay beyond the booked dates, there is no guarantee that the same pitch will be available.
5. Cancellation of your holiday booking (Touring and Camping)
a. You may cancel your holiday at any time. Cancellation will be effective from the date it is received by us.
b. You can find a link to cancel your booking at the bottom of your confirmation email, or alternately contact us via email. Be aware the deposit paid is non-refundable.
c. Should you need to cancel your holiday due to unforeseen circumstances, please get in touch as in most cases we are happy to honour you booking and deposit at a later date.
6. Holiday insurance
The cost of your booking does not include holiday cancellation insurance. In order to protect against the unexpected, we strongly advise that you consider taking out a holiday cancellation insurance policy.
7. Change or cancellation of the holiday by us
a. We do not expect to have to make any changes to your booking once it is confirmed, however sometimes problems arise and bookings have to be changed or cancelled. We will only do this if it becomes necessary to do so for reasons that are unforeseen at the time of you making your booking which are beyond our reasonable control or if essential remedial works are required to your holiday accommodation or pitch.
If this happens:
i. We will promptly contact you to let you know.
ii. We may cancel your booking and refund your payments, or offer alternative pitch and refund any payments for pitch not yet provided to you less the cost of alternative accommodation.
iii. We may cancel your booking and offer you a credit note towards the cost of a future holiday to be used within a specified time period.
iv. If we offer alternative pitch, or a credit note, you may still choose to cancel your booking and we will refund the payments you have made to us.
v. We will not be liable for compensation, or be responsible for any failure to perform any of our obligations under these terms caused by an event outside our control.
b. Events outside our control include, but are not limited to, war, threat of war, riot, terrorist activity, industrial action, flooding, explosions, infestations, natural or nuclear disaster, fire and adverse weather conditions.
8. Holiday Caravans
a. All members of your party must be included in the number shown on your booking summary, and the total number including children and babies, must not exceed the maximum occupancy specified by us for that accommodation. The remainder of your holiday may be at risk if you are found to be exceeding the permissible limit as this will invalidate our insurance.
b. Electricity, gas, water and heating are all included in the cost of your holiday.
c. Bed linen (sheets, duvet covers and pillow cases) MUST be used in our holiday caravans. If you have ordered bed linen for your stay, we will leave this in your holiday caravan for your arrival. If you prefer to bring your own bed linen, please note that we provide pillows and single/double quilts, and ask you to bring your own sheets, pillow cases and duvet covers.
d. Please note that we do not provide towels.
e. Potential visitors to your holiday caravan without a booking must report to reception and are expected to adhere to the rules of the park. They are not permitted to stay past 10pm.
f. There is space for two car’s next to your holiday caravan. Any other vehicles must be parked in accordance with the instructions of the on-site staff.
g. Barbecues are permitted but we ask you to use the concrete blocks provided to protect our grass.
h. You are expected to return your accommodation to us in a clean and tidy condition and thus the very same standard you found it in upon your arrival. You must not allow the holiday accommodation to be used for any dangerous, noisy, illegal or immoral activities. You must not cause a nuisance or annoyance to us, our employees or contractors, or any other person using our park.
i. Any breakages and damages should be reported immediately. A charge may be made.
j. Arrival time – any time between 3.30pm and 8pm. If a later arrival is required or in case of an emergency whilst travelling to the park, please contact us.
k. Departure time – by 10am on the day of departure.
l. Arrival and departure times may be flexible outside of high season, but we ask that you enquire first. m. For the purpose of maintenance, the park owners reserve the right to enter accommodation any time as necessary, even in the absence of the occupants. Notice will be given except in cases of emergency.
9. Touring and Camping
a. On arrival you will be shown to your allocated pitch. Please ensure you set up within the boundaries of your pitch, and do not extend onto the adjacent pitches. Also see clause 1e.
b. Electric hook ups are 10 amp. Our hook up points have the standard round socket and tent guests will need a mobile mains power unit that is compatible with our hook ups. We recommend your cable is 20m long as your hook up point may be on an adjacent pitch.
c. Potential visitors to your pitch without a booking must report to reception and are expected to adhere to the rules of the park. They are not permitted to stay past 10pm.
d. There is space for one car on your pitch. Any other vehicles must be parked in accordance with the instructions of the on-site staff.
e. We welcome the use of contained fire pits and barbecues. We ask these are raised off the ground using the concrete blocks by your pitch, to avoid damaging the grass. Open campfires are not allowed.
f. Arrival time – any time between 12.30pm and 8pm. If a later arrival time is required or in case of an emergency whilst travelling to the park, please contact us.
g. Departure time – by 10.30am on the day of departure.
h. Arrival and departure times may be flexible outside of high season, but we ask that you enquire first.
a. We reserve the right to expel guests for conduct detrimental to our park rules, or comfort of other guests. This includes behaviour that is noisy, offensive, illegal or disruptive to others, and no refund will be given in these circumstances.
b. The park does not allow stag or hen parties.
c. Our site speed limit of 5mph must be observed at all times.
d. For the comfort of all holiday makers, quiet time is between 10pm and 8am. Please also be aware of neighbouring guests when talking after 10pm as noise travels.
e. Pitches and areas around holiday caravans must be kept tidy, with all rubbish placed in the bins by reception.
f. We do not have a facility to charge hybrid cars. You are not permitted to charge your car using the holiday home or pitch electricity supply. Please ask for details of the nearest local EV charging services.
g. Fireworks, candles and Chinese lanterns are not permitted on any part of the park.
h. Dogs are welcome and must be kept on a lead. Under no circumstances may dogs be left in accommodation unattended.
i. Cutting or damaging trees and other vegetation is prohibited and the natural conditions are not to be disturbed.
j. No refunds can be given if guests decide to leave before the end of the booked holiday, unless you do so as a result of one of the reasons listed in clause 7.
k. We do not accept bookings from or allow anyone to stay on the park who is listed on the Violent and Sex Offenders Register (or any register which supersedes this). By making a booking, you are confirming that no one in your party is on this register.
l. All our indoor accommodation and facilities are non-smoking and this includes the use of e-cigarettes.
m. Children must be supervised by parents or guardians throughout the holiday, and use of our equipment and fishing pond is at your own risk. The pond closes at dusk, and no later than 10pm in the summer months.
n. Bicycles, mobility vehicles and scooters (not motorised) are allowed on the park provided they are ridden slowly and with care. No cycling after dusk for your safety.
o. We endeavour to ensure that all on site services and facilities are available to you during your stay. If facilities are not available due to circumstances beyond our control, no liability will attach to us and you will not be entitled to a refund. See FORCE MAJUERE
p. Hartland Caravan and Camping Park cannot accept responsibility in respect of any personal injury or loss/damage to visitors and their property howsoever caused.
q. FORCE MAJUERE – We regret we cannot accept liability and no compensation will be payable where the performance of our contract with you is prevented or affected by ‘force majuere’. In these fair-trading terms, ‘force majuere’ means any event which we or the supplier of the service(s) in question could not, even with all due care, have been foreseen or avoided. Such circumstances may include war, threat of war, riot, civil strife, industrial action, terrorist activity, natural or nuclear disaster, fire, adverse weather conditions, and all similar events outside of our control.
a. If a guest has a complaint concerning any aspect of the services provided by us, we ask you to contact us immediately, or as soon as is reasonably practicable, and in any event before the end of your stay. We will then do all we can to resolve the matter to your satisfaction.
b. It is specifically agreed between the parties that failure by the guest to notify the proprietor of any complaint in accordance with the timescale set out in clause 11a will entitle the proprietor to refuse to entertain the complaint, irrespective of the merits of the complaint.
c. If any problem with the accommodation or pitch, or the park means that we have to cancel your booking, if we are at fault, we will refund payments made for the accommodation not yet provided to you.
d. As a consumer you have legal rights in relation to this agreement. Advice about those rights is available from Citizen’s Advice Bureau or Trading Standards. Nothing in these terms and conditions will affect these rights.
